Meeting with people at your church just to check in is a great way to care for your people well, and for them to know you don’t only reach out when you need them for something. Below is a typical email I send out to people in our church when I'm just trying to connect with them and see how they are doing. Feel free to copy/adjust it to suit you.
Hey NAME,
I'd love to grab lunch or coffee sometime. I have no agenda, just to hang out and see how you are doing.

Calendly for scheduling meetings.
In ministry, you can spend (waste?) a lot of time trying to set up and schedule meetings. If you are someone who typically schedules more than one meeting a week, save all the back and forth on trying to find a time that works for both parties.
I’ve been using Calendly for years and it has made scheduling meetings super simple. You can sync Calendly to your calendar so that it won’t offer up times you are not available. Best of all, the free version (which I use) does everything I need it to do.

If it is hard for you to take time away from your church, go ahead and mark your calendar today for a week off 3 months from now (you can plan what you’ll actually do or where you will go later). Knowing it is going to happen will ensure you do what is necessary to get away. If you don’t plan proactively, you will never feel like you have the time or ability to step away.
